About this app
CTK Giving Sync is a bookkeeping tool that Christ the King Church ("CTK," "we") built for its own use. It records the church's giving deposits in the church's own QuickBooks Online company. It is used only by CTK staff and volunteers whom the church authorizes, and only for CTK's own books. It is not offered to the public or to other organizations.
The app runs on a church computer. CTK does not operate a server or online service for it.
Information the app uses
From CTK's QuickBooks Online company (through Intuit's API, with permission granted by a CTK QuickBooks administrator):
- The company name, chart of accounts, classes, and accounting preferences (such as the closing date).
- Bank deposits and journal entries, looked up by reference number or date, only to find the ones the app itself created so it can avoid duplicates and keep them up to date.
The app creates and updates bank deposits (or journal entries) in that company. It does not delete anything, and it does not read customers, vendors, employees, payroll, or bank-feed data.
From CTK's Planning Center Giving account (read-only): funds, payment sources, batches, and the amount, date, fund, payment method and payment source of each gift. The app does not request donors' names or contact details from Planning Center.
From Subsplash transfer reports that a staff member downloads and chooses to import: each transfer's ID, date and totals, and each transaction's ID, date, type, fund or item, amounts and status. These files also contain donors' names and email addresses; the app ignores those columns and does not save them.
How the information is used
Only to prepare and record CTK's giving deposits in QuickBooks, to check them against Planning Center and Subsplash, and to keep a record of what was posted. Nothing is used for advertising, marketing, profiling, or any purpose other than CTK's bookkeeping.
Where it is kept
- Imported report details, account mappings, and a history of postings are stored only on the church computer where the app is installed.
- Sign-in credentials for QuickBooks and Planning Center are stored in that computer's macOS Keychain.
- Information is sent only to Intuit (QuickBooks) and Planning Center, directly from that computer over encrypted connections, to carry out the functions above.
- The app's dashboard is reachable only from the computer it runs on. It uses no cookies, analytics, or tracking.
Sharing
CTK does not sell, rent, or share this information with anyone. Data from QuickBooks is shown only to the authorized CTK users of the app.
The sign-in page on this website
When a CTK administrator connects the app to QuickBooks, Intuit sends their browser to a page on this website with a one-time authorization code in its address. That page passes the address to the app on the same computer. It does not store or send the code anywhere else. Like any web page, its address may appear in this website host's standard access logs; the codes expire within minutes, can be used only once, and are useless without the app's private credentials.
How long it is kept, and removing it
Records stay on the church computer until an authorized user removes them. Disconnecting the app in its settings revokes its access to QuickBooks. The app can also be disconnected from within QuickBooks Online, and uninstalling it can remove all of its stored records and credentials.
Security
Credentials are kept in the macOS Keychain, never in the app's files. Connections to Intuit and Planning Center use encryption (HTTPS). Access to the app requires access to the church computer's user account.
Donors
Donor records and giving statements are maintained in Planning Center. Questions about how CTK handles donor information can be sent to the contact below.
Changes
If this policy changes, the updated version will be posted on this page with a new effective date.
